The "My Inventory" section in Peregrine Ship allows you to manage your stock efficiently, whether the products are sourced through Custom Sourcing or come from your own supplier. This guide will walk you through everything you need to know about how inventory works, how to manage it, and how Peregrine Ship ensures quality control throughout the process.

What Is Inventory?

Inventory refers to the stock of products that you have stored in Peregrine Ship’s warehouse, which are ready to be fulfilled for your customers. Inventory can come from two main sources:

  1. Products sourced by you from your own supplier: These are products that you already own and wish to store in our warehouse for fulfillment.

  2. Products sourced through Peregrine Ship’s Custom Sourcing service: These are products you’ve requested through our custom sourcing, where we find suppliers and manage the entire sourcing process for you.

How to Add Inventory from Your Own Supplier

If you already have a product that is supplied by your own manufacturer and you want to add it to Peregrine Ship's warehouse, follow these steps:

1. Create the Product in Peregrine Ship

Before adding inventory, you must first create the product in your Peregrine Ship account. Here’s how:

  • Go to the "Products" section of your account.

  • Click on "Create Product" and fill out all the necessary details, including product name, SKU, description, and other specifications.

  • Save the product. This step is important because inventory can only be added to an existing product.

2. Submit an Inventory Request

Once the product is created, follow these steps to add inventory:

  • Navigate to the "My Inventory" section.

  • Click on "Add Inventory" and choose the product to which the inventory will be attached.

  • Enter Quantity: Specify the number of units that your warehouse should expect.

  • Provide Tracking Code: You’ll also need to provide the tracking code of the shipment from your supplier so our team can accurately track and prepare for receiving the stock.

  • Submit the Request: Once the request is submitted, our warehouse will be notified that a shipment is on its way.

3. Receiving and Inspection

When your stock arrives at our warehouse, our team will:

  • Perform a Quality Check: Each product will undergo a quality check to ensure that it meets your specifications.

  • Count the Stock: We will count the exact quantity of items received. If there are discrepancies (e.g., if you ordered 1,000 units but only 954 arrived), we will notify you immediately.

  • Update Inventory: Once the inspection and counting are complete, the stock will be updated in your "My Inventory" section, and the products will be ready for fulfillment.

4. Minimal Fees for Inventory Inspection and Counting

For products that come from your own supplier, there is a minimal fee charged for the inspection and counting process. This fee covers the labor required to ensure your stock is correctly processed.

How Custom Sourcing Inventory Works

If you’ve opted for our Custom Sourcing service, the process is slightly different as we handle the entire sourcing process for you. Here’s how it works:

1. Custom Sourcing Request

  • You begin by submitting a Custom Sourcing Request, specifying the type of product you’re looking for. You can detail the materials, dimensions, quantities, and any other specific requirements.

2. Price and Specifications Confirmation

  • Our sourcing team will find the best suppliers and provide you with detailed pricing and product specifications. We ensure that the product meets your expectations before moving forward.

3. Agreement and Deduction

  • Once you approve the pricing and specifications, we will deduct the agreed amount from your balance.

  • At this stage, we will also create the product in your account, so you don’t need to manually input any details.

4. Receiving Inventory

  • When the product arrives at our warehouse, it will undergo the same quality check and counting process as your own supplier products.

  • After the inspection is completed and the stock is verified, we will update the My Inventory section with the new stock count, and the products will be available for fulfillment.

5. No Additional Fees

For Custom Sourcing, all costs related to quality checking, counting, and inspection are included in the original sourcing price. You won’t be charged any additional fees for this service.

Inventory Storage Fees

At Peregrine Ship, we offer free storage for all inventory for the first 30 days after it arrives at our warehouse. This gives you flexibility in managing your stock without worrying about immediate storage costs.

After 30 Days:

If your stock remains in our warehouse beyond 30 days, a minimal storage fee will be applied to your account. This fee is designed to be affordable and scalable, allowing you to store inventory as needed without excessive costs.

Managing Inventory in Your Dashboard

Your My Inventory dashboard provides a detailed view of all your stock, including:

  • Product Name and SKU: Each product is listed with its SKU and name.

  • Available Quantity: The exact quantity of each product that is ready for fulfillment.

  • Inventory Source: Whether the inventory was added from your own supplier or sourced through Custom Sourcing.

  • Product Status: You can see if the product is in stock, out of stock, or pending arrival.

You can also set notifications to alert you when stock levels are low, allowing you to quickly restock and avoid delays in fulfilling customer orders.

What Happens If There Are Discrepancies?

If there are any issues with the quantity or quality of the stock received, our warehouse team will notify you right away. For example:

  • Quantity Discrepancies: If you’ve requested 1,000 units but only 954 arrive, we will update your inventory count to reflect the actual amount received and notify you of the shortage.

  • Quality Issues: If any of the products fail our quality inspection, we will alert you so that you can work with your supplier to resolve the issue.
